What we collect when you book a collection, why we need it, who sees it and what you can ask us to do with it.

Who we are

Collect4All is run by ECS Textiles Limited, a company registered in England (company number 08958018), at Block 6, Gloucester Road, North Shields, Newcastle upon Tyne, NE29 8RQ. ECS Textiles Limited is the controller of the personal data described here.

What we collect

When you book a collection, you give us:

  • your name, email address and phone number
  • your postcode and collection address
  • what you're donating, roughly how much, and the charity you chose
  • anything you write in the notes

We don't ask for an account, a password, your date of birth or payment details. Browsing the site doesn't require you to give us anything.

How we use it, and why we're allowed to

We use your details to arrange and carry out the collection you asked for: to plan the route, to contact you about the date or any problem, and to find your address on the day. The legal basis is that you've asked us to do this, so processing your details is necessary to take the steps you requested.

We don't use your details for marketing, we don't sell them, and we don't use them to make automated decisions about you.

Who sees it

  • Our staff and drivers, who need your details to arrange and complete the collection.
  • Amazon Web Services, which hosts this website, stores bookings and sends booking notifications to our office. Your booking is stored in AWS's London region.
  • Hostinger, which provides our office email, where booking notifications arrive.

These providers act on our instructions and may not use your data for their own purposes. We don't pass your name or contact details to the charity you choose. We would only share your data with anyone else if the law required it.

Where it's kept

Your booking is stored in the UK. Our email provider may process booking notifications within the European Economic Area, which the UK recognises as providing adequate protection for personal data.

How long we keep it

We keep booking details for as long as we need them to complete your collection and deal with any questions or problems afterwards, and for no more than 24 months after the collection. After that they are deleted.

Cookies and browser storage

This site doesn't use cookies, analytics or advertising trackers. While you fill in the booking form, your browser keeps your progress in its session storage so it isn't lost if you move between steps. That stays on your device, is only used to provide the form you're using, and is cleared when you close the tab.

The links to our social media pages take you to those sites, which have their own privacy policies.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal data we hold about you
  • correct anything that's wrong or incomplete
  • delete your data
  • restrict how we use it, or object to our using it
  • give you your data in a format you can take elsewhere

To do any of these, contact us using the details above. It's free, and we'll reply within one month. If you've booked a collection and want to cancel it, just let us know.

Complaints

If you're unhappy with how we've handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

If we change how we use your data, we'll update this page and the date at the top.
